This year, the National Ethanol Conference will be held at the Henry B. Gonzalez Convention Center.  We have reserved rooms at discounted conference rates at four area hotels. 

You must first register to attend the conference before you will be able to reserve a room in our room block.  Upon completing your registration, you will receive a registration confirmation email that includes a link to book your room at one of conference hotels.  Room rates negotiated for the conference will automatically apply.

**For best availability and immediate confirmation, make your hotel reservation via the Internet.  Requests received via fax or mail may take longer to process.  All hotel requests are processed on an availability basis.

INTERNET RESERVATIONS

Once you have registered online for the conference, you will receive a confirmation email.  The email will contain a link to book your hotel room through the conference housing bureau.  

FAX OR MAIL RESERVATIONS

If you would prefer to fax or mail in a housing form to the NEC housing bureau, please email us at necregistration@bbiinternational.com and we will send you the form.  Instructions for faxing and mailing the housing form are as follows:

CONFIRMATION

To ensure receipt of your email reservation acknowledgement, please add acknowledgement@pkghlrss.com to your email address book.

The NEC Housing Bureau will send an acknowledgement of your reservation when it is processed.  Please review all information for accuracy.  Reservations processed online will receive an e-mail acknowledgement within 12 hours of reservations being processed. Acknowledgements of faxed or mailed housing forms will be sent within 10-14 days of receipt of the form.  If you do not receive your acknowledgement in this time frame, please contact the NEC Housing Bureau by fax at 210-207-6702, or email housing@visitsanantonio.com.  You will not receive a confirmation directly from the hotel.

RESERVATION DEADLINE

To take advantage of the special NEC rates, please book your reservation by January 24, 2009.  After that date, NEC room blocks may be released and hotels may charge higher rates.  All rates are per room and are subject to 16.75% occupancy tax, (subject to change).

Special requests cannot be guaranteed; however, hotels will do their best to honor all requests.  Hotels will assign specific room types at check-in, based on availability.

GUARANTEE

All reservations require a valid credit card or check deposit guarantee at the time of processing reservations.  Requests received without a valid guarantee will be returned and will not be processed.  If you choose to mail in a check deposit guarantee, a check for $200 and made payable to “NEC Housing” should be mailed along with your housing form to the address provided above. 

CHANGES AND CANCELLATIONS

The NEC Housing Bureau must receive cancellations on or prior to January 23, 2009 to avoid a penalty.  Any cancellations received after January 23, 2009 will be assessed a $25 cancellation fee.  This penalty will be applied to credit cards and check deposits within 7 days of the cancellation.

You can make changes and cancellations through the NEC Housing Bureau through January 30, 2009.

Beginning January 31, 2009, changes & cancellations must be directed to your confirmed hotel.  All cancellations must be received 72 hours prior to arrival, or a one night’s room and tax will be assessed by your confirmed hotel.  Please note:  your confirmed hotel may assess an early departure fee for departure date changes at check in.
